Economics Institute of the CAS announces a competition for the position OFFICE MANAGER with English.

OFFICE MANAGER with English

We are CERGE-EI, a joint workplace of the Center for Economic Research and Doctoral Studies of Charles University and the Institute of Economics of the Academy of Sciences of the Czech Republic, v.v.i. and have long been ranked among the institutions producing the highest quality economic research. We are currently looking for a Head of the Secretariat of the Director of CERGE-EI for the team that ensures the operation of the Director's Office and serves as support for all colleagues in the institution.

The most important qualities that you will need to work with us are diligence, the desire to move things forward and the ability to constantly learn.

The condition is your knowledge of the English language, which you will use intensively.

 

What will be part of your job description?

• Managing the Director's Secretariat with the help of two assistant colleagues

• Organizing the Director's calendar, arranging meetings, etc.

• Handling institutional correspondence – checking all documents signed by the director to ensure that they are stylistically and grammatically correct and contain all the necessary details

• Preparing and drafting official letters, replies, requests and appointments

• Taking minutes of meetings of all institutional bodies, their distribution and registration

• Preparing materials for meetings of all institutional bodies

• Monitoring and checking deadlines

• Preparing the annual report and other institutional reports

• Organizing smaller events (teambuildings, workshops, etc.)

• Providing catering, including market research for events organized by the institution

• Monitoring changes in internal regulations and checking their compliance

• Editing, issuing and coordinating internal guidelines

• On-boarding of foreign researchers

• Updating information on the workplace website

• Managing the institution's telephone tariffs

• Coordinator of the filing service

• Coordinator of the Charles University internal website

• Support in concluding contracts with suppliers and ensuring the correctness of contracts

• Records contracts, including the contract register agenda

• Administration and organization of offices and their occupancy in the building

• Administration of the institution's data mailbox

• Secretary of the supervisory board and the workplace council

• Administration of electronic signatures

• Administration, control and improvement of the reporting database

• Processing of applications according to Act No. 106/1999

 

What do we need from you?

• Min. Secondary school with a high school diploma (ideally in the field of economics, administration, etc.)

• Advanced knowledge of English min. B2+ (written and oral).

• Excellent knowledge of Czech language and grammar

• Experience in a similar position is a great advantage

• Necessary knowledge of working with a computer - MS Office, Office 365, ChatGPT, Sharepoint

• Experience in leading a small team is an advantage

• Diligence, reliability and flexibility, resistance to stress

• Time management

• Independence, reliability, diligence and systematic approach

• Willingness to learn new things and a positive approach to work, pleasant demeanor

• Excellent communication skills and team spirit
